Zoho Mail Free Plan Limits: What to Do After 5 Users

Zoho Mail Free Plan Limits: What to Do After 5 Users

Learn about Zoho Mail's 5-user free-plan limit, upgrade options, migration to XgenPlus, business email pricing, and email security for growing startups.

Before making changes, record:

  • All employee mailboxes and aliases.
  • Shared or role-based addresses such as support@ and sales@.
  • Mailbox sizes and any storage constraints.
  • Existing forwarding rules and distribution groups.
  • Domain registrar and DNS-hosting access.
  • Email authentication and security settings.

This inventory helps prevent overlooked addresses and unexpected interruptions.

Step 2: Set up the domain and users on XgenPlus

Add and verify your domain with XgenPlus, then create the corresponding user accounts and group addresses. Keep the existing Zoho service operational while preparing the new environment.

Domain verification and mail routing are separate steps. Verifying domain ownership does not, by itself, redirect incoming email to the new provider.

Step 3: Transfer existing email and related data

The migration method depends on your Zoho plan.

For paid Zoho accounts: If IMAP is available and enabled, a supported migration tool or administrator-led process can copy mailbox folders to the destination.

For Zoho Free accounts: Because IMAP is not included, you may need to use the available export and import methods. Verify which formats your account supports and whether messages, attachments, folder structures, and metadata will be preserved.

Contacts and calendars may require separate exports and imports. Do not assume that moving email automatically transfers every item associated with a user's account.

XgenPlus documents a step-by-step Zoho Mail migration guide with guidance for both free and paid accounts.
