How to Manage Painting Work Across Large Commercial Properties
Maintain Safe Access for Occupants
During painting, certain sections may need temporary restrictions. Wet paint, equipment, ladders and material storage can create hazards if areas are not properly managed.
Use suitable signs, barriers and designated access routes to keep occupants away from active work zones. Emergency exits, fire equipment and essential walkways must remain accessible in accordance with site requirements.
Before starting each stage, inform occupants about restricted areas and any temporary changes to building access. Clear communication helps minimise confusion and supports a safer working environment.
Maintain Effective Communication Between Everyone Involved
Large commercial painting projects usually involve multiple people, including property managers, contractors, building supervisors, facility managers, employees and other trades. Without proper communication, small misunderstandings can lead to scheduling problems, additional expenses and incomplete work.
Establish a clear communication process before work begins. Appoint a primary contact who can coordinate updates, answer questions and address issues between the property management team and painting contractor.
Organise Regular Project Meetings
Short progress meetings help everyone remain informed about the current stage of the project. Discuss completed sections, upcoming activities, access arrangements, material requirements and any issues affecting the schedule.
Keep written records of important decisions, approved changes and outstanding responsibilities. These records help prevent disagreements about the agreed scope of work.
Provide Advance Notice to Building Occupants
Employees, tenants and visitors should receive information about upcoming painting activities. Notices can include the affected areas, expected work dates, alternative access routes and contact details for reporting concerns.
For properties with several tenants, distribute updates through the property management team or the appropriate building communication channel. Providing information early gives occupants time to adjust their daily activities.
Choose Suitable Paint Products and Finishes
Selecting appropriate paint products is essential when managing large commercial properties. Different building areas experience different environmental conditions, levels of use and cleaning requirements.
A coating that works well in an office may not be suitable for an industrial environment or an exposed external wall. Product selection should consider the surface material, existing coating, expected wear and exposure to moisture, sunlight and regular cleaning.
Match Coatings to Surface Conditions
Commercial properties may contain plasterboard, concrete, brickwork, rendered walls, timber and metal surfaces. Each material requires suitable preparation and coating products.
Concrete and masonry surfaces may need products designed for porous materials. Metal structures may require appropriate primers and protective coatings to help reduce corrosion. Internal walls in busy corridors may benefit from durable finishes that can withstand frequent cleaning.
External surfaces need coatings suitable for the local climate and exposure conditions. Product recommendations should also consider manufacturer instructions and the condition of the existing surface.
Approve Colours and Finishes Before Application
Colour selection should be completed before large quantities of paint are purchased. Review samples under the lighting conditions of the actual building because colours can appear different under natural and artificial lighting.
Maintain a central colour schedule that records the approved shades, product names and finish types for each area. This is particularly important when several contractors or painting teams are working across multiple buildings.
