How to Improve Survey Response Rates: 14 Proven Tactics
Avoid spam-trigger words: "free," "win," "exclusive," "claim," "limited time." Keep subject lines under 50 characters so they display fully on mobile. Be direct about what you are asking and, if possible, why.
4. Send from a recognisable name. Emails from "Company Name" or "Sarah at Company Name" get opened more frequently than emails from "noreply@surveytool.com" or "research@surveys.net." According to Litmus's 2023 State of Email report, the sendername is the single biggest factor in email open rates, more influential than subject line or preview text. Use a name your audience will recognise and trust.
5. Brand the entire survey experience.
Branding is a trust signal. It tells the respondent: this is real, this is from us, and we care enough to make it look right. An unbranded survey with a generic URL does the opposite.
6. Choose the right send time. For B2B audiences, send Tuesday to Thursday between 9am and 11am in the respondent's local time zone. For B2C, test weekday evenings (6pm to 9pm) and weekend mornings (9am to 11am). Monday mornings consistently underperform because of inbox overload. Friday afternoons underperform because people are mentally checked out for the week.
Send time is one of the simplest variables to A/B test. Split your list in half, send to each group at a different time, and compare open rates and completion rates. Over two or three survey waves, you will have a clear picture of what works for your specific audience.
7. Send a single well-timed reminder. One reminder email typically recovers 20 to 30% of initial non-responders. Send it 3 to 5 days after the original invitation. Use a different subject line (not a forward of the same email) and keep the tone brief and friendly. A second reminder is acceptable for high-stakes research. Three is the absolute maximum, and each additional reminder risks unsubscribes that reduce your list for future surveys.
8. Make the survey mobile-friendly. Over 60% of survey responses now come from mobile devices (SurveyMonkey, 2023). If your survey has radio buttons too small to tap accurately, requires horizontal scrolling on a phone screen, or takes more than 3 seconds to load over a mobile connection, you are losing more than half your potential respondents. Design mobile-first. Test on a real phone. Pay attention to tap target sizes, font readability and page transitions.
9. State the estimated time upfront. In the invitation email, write: "This survey takes about 3 minutes." On the survey landing page, repeat it. This transparency reduces abandonment because respondents can make an informed commitment before they start. Ambiguity ("a few quick questions") creates uncertainty, and uncertain people tend to close the email rather than take the risk.
10. Offer incentives selectively. Incentives boost response rates by 10 to 20% on average. The most common options are charitable donations ("we will donate 1 pound per completed survey"), prize draws ("complete for a chance to win a 50-pound voucher"), and small guaranteed rewards (discount codes, account credits). Each has trade-offs.
Guaranteed incentives produce higher response rates but attract more satisficers, people who rush through to claim the reward. Lottery-style incentives attract fewer pure reward-seekers and tend to produce better data quality. Charitable donations work well for audiences who are already engaged with your brand. Test what works for your audience and always screen completed responses for quality.
